Board Meeting
Heritage Archery Club
August 8, 2021

James Hornbuckle welcomed everyone and called the meeting to order.
Chester Suttle led us in prayer.
Shane Bates read Article 2.

James Hornbuckle went over the guidelines on how meetings were going to be run. If you have something to say you must raise your hand. If we get off topic, Shane will make a note and we will revisit later in the meeting as appropriate.

Minutes were presented printed and posted on the website. Chester Suttle made a motion to accept as published. Mike McAlpine 2nd. Vote – Minutes accepted as published.

Financial Report presented printed. No one had any questions. Renee Hornbuckle made a motion to accept as published. Wes Patterson 2nd. Vote – Financial Report accepted as published.

New Chapters
April Bryan was present on behalf of Cindy Waggoner to ask for Crenshaw County to be approved as a new chapter in the Southern Zone. Brought to vote. Approved unanimously.

Zone Reports –
North Zone – Renee Hornbuckle – good year, losing Colbert County
Central Zone – Nick Ecker – good year, may lose Alex City but gained St. Clair
Southern Zone – Jason Vincent (director not present) – doing good (April Bryan)

Chapter Reports –
Heritage – good year, championship and banquet went well
St. Clair – doing good, ranges cut in, ready to host shoots, range will be behind ballpark in Ashville
Russell – stayed busy but good year
Jefferson – good year, ASA State went well
Talladega – good year, bunch of new targets, liking new location
Chilton – 4 shoots, 20 people at last 2, S3DA shoot went well, end of season cookout 1st of Sept or October, new shed for targets closer to range, trying to get dam fixed on lake, members get to fish in lake onsite
Tuscaloosa – good year, CZ Championship went well, S3DA Championship really good, increased help and membership
Chelsea – 1st 2 shoots went well, looking at 2 day shoots for next year, range open all year but must go to community center for archery park pass
Mobile – growing hoping to shoot next year

Editor – Larry McAfee – AON great source, full page each month, article each month, needs info from Chapters, story on S3DA will be coming soon, deadline 1st of each month

Political Liaison – Dennis Burnett – not present
UDCP – Mike McAlpine – quiet, nothing new

Merchandise – Wes Patterson – nice shirts and hats for Bowmania will be listed for sale on website

Awards – James Long – not present

Tournament Director – went good this year for BHA, reminder to post scores promptly – ASA – So far so good, growing, qualifiers help participation, held 20 qualifiers and about 500 scores

Webmaster – Shane Bates – Website average 500-600 hits a week, Facebook 200-300 per week, numbers triple after big shoots, need advertisers, need to set tiers for sponsors

Social Media – Charmen McAlpine – need info on shoots and chapters to post

S3DA – Shelley Skinner – going well, steady attendance – some growth, lost Poarch Creek, gained new clubs 7 members, held virtual indoor shoots and virtual national tournament – 3D State Championship in Tuscaloosa had 65 registered, concessions sold out – Outdoor State in Chilton just finished, had 55 shooters

OLD BUSINESS

Revisit Buckmasters booth. – After discussion and vote it was decided it is not feasible for us to have a booth at Buckmasters at this time. May revisit in the future.

Iron Man award – 3 people for attending tournaments (Adult, Senior and Youth) – Appreciation trophy – Belt (similar to wrestling belt), rotates each year, $100 Gift Card to local archery shop of choice, plaque after belt rotates, window sticker for each year winner. – BHA to cover all costs – voted in unanimously

Chapter Participation gift card to be drawn from entries from Chapters at State Banquet – Chapters will submit entries for Chapters that go above and beyond to help their Chapter throughout the year. Gift card will be $100 – BHA will buy gift card

Proposals tabled from previous meetings
#1 Proposal to change By-Law Section 1 – Chapters – 2nd Paragraph, last sentence. Currently reads “Each Chapter shall be required to present a current bank statement at each Board Meeting.”
Proposal to change wording to “Each Chapter shall be required to present (1) current bank statement by set date of February Board meeting.” – voted – passed

#2 Proposal – Trail Shoot Fees – Trail Shoot Requirements in ByLaws

Current – “Fees will be $30 for all payout possible classes regardless of number of participants; and shall be split as follows $15 retained by hosting Chapter, $10 to use for payback and $5 for BHA for the Championship Series/State Championship only. Entry fees for all non-payout possible classes at SOYT legs and Championship will be $10 and will be split $5 for the chapter, $5 for BHA.”

NEW IDEAS

Proposal to do a $10k draw down, sell 300 tickets at $100 each, tickets would get 2 dinners at banquet (held separately from State banquet), other tickets sold at banquet would be $1 split the pot, bingo, lucky 13. For the $10k you keep drawing eliminating people until you get to the last one and they would win the $10k. Incentive each Chapter for selling tickets, the Chapter that sells the winning ticket would get $500 – Door prizes – 15 door prizes needed – Wes Patterson would be over this – James Hornbuckle to go with Wes to one this year to see how it works – brought to a vote and unanimously voted in to give it a try.
