BHA Board Meeting Minutes
May 13, 2023

Shane Bates is not in attendance due to work schedule.
James Hornbuckle calls the meeting into order.
Phil Carter says prayer and everyone talks about missing our good friend Chester Suttle.
Emily Hoskins read Article II.
February Minutes – approved by Wes Patterson and Mike McAlpine 2nd
Financial Report-approved by Michael McAlpine and Charmen McAlpine 2nd
North Zone Report was given by James Hornbuckle; clubs are doing good, and attendance has been the same or maybe a little better.
Central Zone Report given by Sandra Patterson; attendance has been low, Lee County got some property and should be good for next season.
Southern Zone Report given by Debbie Hill; everything is going well, good attendance at the southern zone trail shoot, and the zone is gearing up for the State shoot.
Talladega: trail shoot attendance was not what the club had expected, the new range is going well
Heritage: attendance was the same as last year, Bow Up will be hosted this weekend by BHA at the range.
Peach Pit: everything going good, same as the last meeting, haven’t hosted any shoots since the first one this season.
Chelsea: shoot went well! The S3DA battle of the Boarders went very well.
St Clair: The first shoot went really good! The club will be hosting AL State games, next shoot will be a BHA shoot as well as the S3DA State shoot (June 10th)
Tuscaloosa: attendance has been low, schedule kind of messed up the shoots
Jefferson: attendance same or maybe a little better than last year, they are currently prepping for the AL ASA State shoot that will be hosted late in July.
No editor- Nathan Worthington could possibly help with this as well as Wes Patterson.
Nathan Worthington went to the CAB meeting and it went well, notes are to be shared on the website soon.
UDCP- not much to report
Merchandise- we still have a lot of shirts, we will be doing some reduced pricing to move them so that we can get some new styles. We can coordinate to sell BHA merchandise at local shoots maybe if anyone is interested.
Awards: suggestions made for trail awards, kids being switched to medals possibly. (Wes’s brother can look into this as he has a trophy shop, Jeff has medals for examples) Discussed the need to order Bowmanina medals ASAP.
Tournament Director Report given by Jeff Bowland, all scores have been added to the spreadsheet for the trail shoots and will be posted later this week, everything seems to be going well.
ASA Report given by James Hornbuckle; all is good, got some ideas coming up for next year, and attendance is up for most of the qualifiers.
Web Master- all is good and is going great.
The social media report was given by Katie Skinner; everything is good. Just need to send the info to her so that she can get it out.
Old business:
-Is Wes going to do drawdown again for next year? (2024 Sept, need to set a date in August at the board meeting)
-Sponsor Levels and benefits need to be set in August
-Promote Bowmania!!!
*clean out the BHA trailer, possibly think of getting new carpet, peg board for shirts(James Hornbuckle could possibly build)
New Business:
-James makes a motion to buy 4 new tires for the trailer – motion approved by unanimous vote
Jeff Boland and Tam will work on getting metals (2 years’ worth)
-May 2024 meeting we will decide if we will keep doing Bowmania in the future (2025 and forward)
Proposals were discussed and tabled until the August Board meeting. These proposals will be posted on the website along with proxy vote forms for everyone to look over and decide what they would like to do.

Proposal 2

Section III, Zone Directors
Any zone director is to get a free single BHA membership or a discounted family membership for the year they hold the position (family membership would be minus the cost of what the current single membership costs) Zone directors are to receive mileage reimbursement ONE way to each Board Meeting they attend.

Proposal 3

Section I, Paragraph 2, Sentences 3 and 4

Currently Reads:
In a county where a chapter already exists and another chapter is requesting membership, the new chapter must first attain approval from the existing chapter in order to be considered for acceptance. The existing chapter has the right to deny inclusion of a new chapter if their county.

Proposed:
Remove the current wording of chapter approval (as shown above) and replace it with the below wording.
A new chapter must be present at a Board meeting with 10 members and ask to become a chapter. Approval will be voted on at that board meeting. They then will secure their insurance and checking account before hosting any shoots. Must present both of these items to the BHA secretary.

Section IX-Tournament Rules
Trail Shoot Requirements:
Sentence 9 Reads:
The hosting chapter must also provide awards to every qualified class.
(Omit this sentence)

Add a new paragraph after current paragraph 3:
The new paragraph will read:
BHA will purchase all awards for Trail Shoots and State Championships. These will be generic so that they can be reused for each trail shoot.

BHA By-Laws
Section IX-Tournament Rules
Sentence one reads:
A copy of the current tournament rule is attached and is considered part of the BHA By-Laws.

Change Sentence one and add on to it:
A copy of the current ASA Federation tournament rules and classes are attached and are considered part of the BHA By-Laws. In addition to the ASA classes BHA ONLY will also include a NASP/Basic Compound class. Young adults will be eligible to participate in this class for one full year from the start of the 3D season and must transfer to another class after that year is completed.

Motion that BHA purchase all awards needed for Trail Shoots, SOY, and State Championship. Motion proposed by James Hornbuckle, 2nd Mike McAlpine – tabled to August Board meeting.
Trail Shoot cost breakdown:
Adult Classes currently $30
-$15 to Club, $5 to BHA, $10 Payback – The $5 to BHA will cover the cost of the awards.

Secretary Emily Hoskins will be moving out of state and we discussed that the position does not need to be carried over state lines so the board has appointed Ginger Boland to take over until the August board meeting.
Discussed the possibility of a memorial award in memory of Chester Suttle
-talk to George Shumway and Charmen McAlpine for details and criteria
Bowhunter of the Year awards was decided.
James sets motion to close meeting; approved by Mike McAlpine and Wes Patterson 2nd
